Privacy Policy — Enterprise AI OS Mobile App

This policy explains what the Enterprise AI OS mobile app (the "App") collects, why, where it is stored, and what you can do about it.

The App is an internal workplace tool. Accounts are created by your employer; there is no public sign-up.

1. First things first: who holds your data

The App is self-hosted: each company customer runs its own server and database. Everything you do in the App is stored on your employer’s own server. It is not pooled with ours and is never shared between companies.

So, in legal terms: your employer is the data controller — it decides what is collected, how it is used, and how long it is kept. Hainan 6am Chenqi Technology Co., Ltd. ("we") provides the software and technical support under contract, and does not access your company’s business data on its own initiative.

Practically: questions about your specific records are answered by your company’s administrator. We are responsible for the security and compliance of the software itself.

2. What we collect

Only what the features actually require:

  • Phone number — used to sign in. It is the account identifier.
  • Name, employee number, department — entered by your employer when your account is created; used to identify you in the system, sign your messages, and route approvals.
  • Server address — the company domain you type on the sign-in screen. Stored on your device only, to prefill it next time.
  • Precise location — collected only if your employer has enabled work-hours location tracking and only after you clock in. Stops when you clock out. See section 3.
  • Photos and camera — only the specific image you choose to take or select (e.g. sending a photo in a conversation, attaching an expense receipt). The App never reads your photo library in the background.
  • Voice — recorded only while you hold the voice button, in order to transcribe it. See section 4.
  • Device and runtime information — OS version, device model, app version, browser engine version. Used for compatibility checks and troubleshooting.
  • Notification token — used to deliver task, approval, and message alerts.

3. About location

Location is the most sensitive thing the App touches, so it gets its own section:

  • When it starts and stops: only between clocking in and clocking out. Not before, not after, not on days off.
  • You will always know it is on: while tracking, Android shows a persistent notification and iOS shows the system location indicator. This is deliberate — being tracked must be visible.
  • Is it required? No. Denying location permission does not affect clocking in, approvals, messaging, or any other feature; it only leaves the work track empty.
  • How to stop it: revoke the permission in system settings at any time, or simply clock out.
  • What it is used for: attendance and field-work records for your employer only. Not profiling, not advertising, not shared with location data brokers.

4. About the microphone

Voice input uses your phone’s built-in speech recognition (Apple’s Speech framework on iOS, the system speech service on Android). Audio is handled between your device and its operating system; the OS returns text to the App. The audio itself never reaches our servers and is never stored by us.

We receive only the transcribed text, and handle it exactly as if you had typed it.

The App does not record when you are not holding the voice button.

5. Where data is stored, and for how long

All business data is stored on the server your employer designates. Traffic is encrypted with HTTPS; the App refuses plaintext HTTP connections outright.

Retention is governed by your employer’s data policy. When you leave the company your account is deactivated rather than deleted, so that approvals, contracts, and financial records stay intact — a legitimate business requirement.

The only things kept on your device are the server address, phone number, password, and session credential, so you do not have to retype them. Signing out or uninstalling the App clears them.

6. What we do not do

These commitments apply to every version of the App:

  • We do not sell, rent, or trade your personal information.
  • We do not use your information for advertising or marketing.
  • We do not track you across apps and do not collect advertising identifiers (IDFA, OAID, etc.).
  • We do not embed any advertising, analytics, or data-broker SDK.
  • We do not read your contacts, SMS, call logs, photo library, or clipboard without your explicit action.

7. Third-party components

The App uses the following open-source components to reach device capabilities. They run locally on your device and transmit nothing to any third-party server:

  • Capacitor (app container and native bridge)
  • Capacitor Geolocation
  • Capacitor Preferences (on-device storage)
  • Capacitor Push Notifications (delivered via Apple APNs or Android vendor channels)
  • Capacitor Camera / system file picker
  • Capacitor Speech Recognition (calls the system recognizer)

8. Your rights

In the App, under Personal Settings, you can view and correct your own profile, change your avatar, and change your password.

Access, correction, deletion, and account closure: because your account is created by your employer and the data is held by your employer, these requests go through your company’s administrator or HR, who handle them under company procedure. We have no authority to delete data on your employer’s server on your behalf.

If you believe your employer has not handled your request properly, or you have questions about how the App itself processes data, contact us directly (section 11).

9. Minors

The App is a workplace tool for employed adults and is not directed at minors. We do not knowingly collect personal information from minors.

10. Changes to this policy

If this policy changes materially we will update the effective date at the top of this page and notify you inside the App. Changes that introduce a new category of collection take effect only after you agree to them.
